You are now able to conduct inspections using a wider array of tools to assist you with inspections. Inspection can either be conducted as onsite or remotely using the same video capture technology to provide enhanced reports for tenants and owners. Enhanced reports reduce the need to spend hours documenting the property as you can refer back to the video or compare the images between previous reports to ensure the property issues can be addressed in an impartial way. This significantly reduces the disputes pertaining to bond and property maintenance related issues.
We cover entry, exit and routine inspections as well as the ability to complete these remotely or onsite.
To better understand the functionality following is the workflow of a property inspection actioned through the Bricks + Agent.
Remote inspection: A feature developed and integrated within Bricks + Agent allowing tenants to hold routine inspections via their smartphone and Bricks + Agent mobile app. As a property manager, you can conduct these remote inspections from any internet enabled desktop computer from any location.
Components: Sections of a property is termed as components which need to be reported on.
Assets: The items in the property that you wish to add to the asset register.
Features: The elements within a component such as floors, ceilings, doors, windows and any other element you wish to capture.
How to carry out an Inspection through B+A
Creating an Inspection through the "Add New Inspection" feature on the dashboard.
Property: Select the property you want to initiate an inspection for.
Tenant: Will automatically be filled according to the selected property – if there are multiple tenants, chose the one that will be the contact for the inspection.
Share with all tenants: If this option is checked, the schedule will be shared with all the tenants with the property. (Note: This option is available only for the Routine Inspection Type.)
Title: Title the inspection as a reference for the inspection.
Create Direct Inspection: By this option, you can straightway move to initiate an inspection without scheduling it.
Inspection From & To: Inspection date and time for scheduling.
Inspection Type: Whether it is an entry, exit or routine inspection.
Recurring type: If a routine inspection is selected then you can opt to create a schedule for future inspection and these be shared with the tenant.
Reminder: This feature allows to set a reminder (for 15min, 30min, 1hr, 2hrs) to be alerted before a job starts.
Click on “Start Inspection” button and the following screen will appear:
If you have initiated the “Create Direct Inspection” or the tenant has accepted the schedule, you can commence the inspection.
You are able to check as the boxes according to the conditions (such as Clean, Working, Undamaged) and compare images taken during previous inspections.
View - This features allows the PM to view the images captured for the selected asset.
Compare with - Compare with the images of the respective feature with the previous inspection.
Delete - You can delete the selected component feature
View History - You can view all the images taken for this component feature in previous inspections.
Initiation of a Call
Once the call is connected, the video will be streamed on the screen.
We do not record and save the entire video call. Once you select a component and click the Start and End inspection command located directly below the video stream, the clip that’s marked between Start and End command will be saved.
End Inspection - Once you have completed inspection for the selected component you can click on the End Inspection. It will end the inspection for the selected component.
Create a maintenance Job: Capture and attach multiple images and small 5 - 10 second video to create a job, which shall create a maintenance job in the background for you to review and publish later.
Add an Asset: Just as creating a maintenance job, you are able to capture a new asset in the property, where it will create a draft asset in the asset registry.
Once you have completed the inspections for all the components and you wish to the end the inspection for the Property you can click on the End Call on the left side.
Once you have ended the call, you can click on the Finish Inspection.
By clicking on the Finish Inspection button, the all the information will be updated to the system, with all the videos captured and images that were taken for each and every component and would create an inspection report with all respective parties.
At the end of the inspection call as the Property Manager you can add notes in general to the inspection. In addition to that you can add summary notes that are required specifically to be sent to the owner and tenant separately along with the attachments.
Check list feature
At the end of each inspection, you can view the checklist that was created during the previous inspection and at the end of the inspection you can mark whether they have been done or not based on the inspection carried out. In addition to that, if you require to make a note on the list of things which you need to check in the following inspection you can create a checklist here by clicking the Create Checklist.
Once you have completed filling the details, then you can carryout either one of the following actions.
Complete + Share - This action will allow you to complete the inspection and the report will be generated and shared with the respective parties of the property inspection. Inspection report will be generated in a PDF format as well. This will mark the report as completed.
(Note: Once you have taken this action you will be automatically checked out from the property inspection)
Complete - This action will allow you to complete the inspection, but the report will not be generated shared to the respective parties ( eg- owners, tenants). The inspection report will be drafted and you can edit the report and share among the users later on.
Draft - This action can be used on an event where you wish to finish the inspection at the time and you wish to continue the inspection later on. By drafting the inspection, you have the ability to resume the inspection from the where you stopped previously.
Draft + Check out - For a scenario, where you finish the inspection at the time and prefer to complete the inspection on a different day, you can draft the inspection and checkout from the inspection. The inspection will be drafted, and you can proceed with the inspection on a different day.
FEATURE 1 - View Maintenance Jobs created during an Inspection
As a Property Manager, once you have completed an inspection and if you have created maintenance jobs during the inspection you are able to view the list of maintenance jobs created using the option "View Maintenance Job" on the inspection detail. Hence, you will be listed with the maintenance job list created.
FEATURE 2 - Edit Report
As a Property Manager when you have completed the inspection prior to sharing the inspection report with the respective parties (owners/tenants) you can edit the report. Edit inspection report will look like the below screen.
Once you have edited the report, you can either complete and share with the respective parties via the action "Complete + Share" or you can save the report as a draft to publish it later using the action " Save as Draft" .
FEATURE 3 - Access Asset Register
When carrying out an inspection, if you identify there has been a new asset added to the property, you have the ability to add the new asset to the asset register of that property at the end of the inspection via the option "Access Asset Register". Once you have created an asset you can view + edit + delete the created asset as well.
FEATURE 4 - Capturing Still images from the video streams of stored video
While playing a stored video, as a Property Manager you can capture the still image from the video stream. These images will be store on the with respect to the component and you will be able to view it later.
On the image there will be a tag stamped with the Date | Time| location address| Room| Asset
